Frequently Asked Questions

How do I enter the run/walk?
 
The quickest and easiest way to enter is to go to our 'Sign Up' page here and complete the online form, paying via Paypal. It is not neccessary to have a Paypal account as you will also be able to pay with a debit or credit card. It is also possible to enter via post with a downloadable entry form which is also available on our 'Sign Up' page. If entering by post, please ensure that payment is included with the entry form with a cheque payable to Rotary Club of Ashby Castle. The entry fees are £7 for all age groups with groups of 4 available for £25. PLEASE NOTE THAT ENTRY OPENS IN OCTOBER, PLEASE WAIT FOR FURTHER ANNOUNCEMENT.

How can I confirm that you have received my registration and it has been processed?

 

You will receive an email confirming your entry which will be followed at a later date by an email with details of what you have to do on the day. If you do not receive an email within 2 days of submission, please send an email with your name and address to entries@ashbysantarun.com

Can I enter with my child in a pushchair or buggy?
 
This is very much a family event and we welcome young children or babies to join in with the aid of a pushchair or buggy. Please bear in mind that parts of the route may be a little bumpy! We would advise that for safety reasons, all entrants with pushchairs/buggies or younger children will be asked to start from the back.

Can I enter on the day of the event?
 
If there is spare capacity then we may consider accepting entries on the day. However the only way to guarantee your entry in this event is to sign up in advance as once we hit our 1500 limit we will close entries.

Where can I collect my Santa suit from?

 

We will continue the policy adopted in 2021 in that we won't be giving Santa suits out as we previously did. This is part of the package to reduce our environmental impact and reduce the amount ot single use waste we create. We do however have some leftover stock of Santa suits from previous years that we will be offering for sale at £5. These will be available at our stall on Market Street on 18th and 25th November and 2nd December on a first come first served basis.

What should I wear?

 

We are encouraging people to help us to paint the town of Ashby in an array of Christmas colour so please come dressed for the weather but in your choice of Christmas outfit. This might be a Santa suit, Christmas jumper, Christmas hat or anything else that demonstrates a bit of Christmas spirit. The more Christmassy the better! We would advise wearing comfortable trainers suitable for running/walking in the weather conditions on the day. We will be having prizes for best dressed male and female in both adults and childrens age groups this year!

What car parking will be available on the day?
 
Due to limited car parking around the town, we would recommend that local residents try and avoid parking in Ashby for this event where possible. However, car parking will be available at the following car parks throughout Ashby: The Library, Ashby Cultural Quarter, Ashby Ivanhoe College, the 3 car parks on South Street and limited on street parking around the town. The majority of the council operated car parks in town do not charge for parking on a Sunday however there are some non-council operated car parks which charge 7 days a week and we would recommend checking the terms and conditions when you park up.

What Toilet/Changing Facilities will be available?
 
We will be providing toilet facilities at the start/finish point on the Bath Grounds. Unfortunately there will be no changing or baggage facilities available so we advise that entrants arrive ready changed in their Christmas outfits.

What charities will benefit from the event?
 
This year we will be supporting 3 local charities as the main beneficiaries of the event and these will be Hospice Hope, Home Start and me&dee. Any remaining profits will be split between other charities supported by Rotary.

Can spectators come along to the Santa Fun Run & Walk?
 
Yes, spectators are very welcome and it is quite a spectacle! There will be entertainment, refreshments and an opportunity to meet the real Rotary Santa and Sleigh at the finish line. There will also be an opportunity for those wishing to support our chosen charities but who are unable to run as we will also be accepting donations on the day.

There will be a lot of people around, what happens if my child gets detached from me?

 

Children under 11 cannot run or walk the event alone, they must be accompanied at all times. All of the event marshals will be briefed on our lost child procedure, and we have a dedicated Lost Child Officer based at Event Control on the Bath Grounds to deal with any incidents.

Will I get a race number and will my time and position be recorded?

 

No, the Santa Fun Run and Walk is a fun community event for all the family, not a race, so although numbers will be issued this will be purely your entry record to the event, no times or postitions will be recorded and no prizes given.

Can I raise additional sponsorship to further help support the chosen charities?
 
Yes, and you can download a paper sponsor form here. Your additional support would be hugely appreciated by our supported charities. We will also be providing the opportunity to choose which of our 3 charities you would like your money to go to. Further details will be communicated once entries open for this years event.

I have a favourite charity that i'd like to support, can I raise sponsorship to support them too?
 
If you have a specific charity from the 3 that we have chosen that you would like to support in running or walking this event then you are more than welcome to. We have provided a Gift Aid friendly sponsorship form on our 'Sign Up' page which can be downloaded and used to collect sponsorship and you can specify which of our charities you would like the money to go to. Our event treasurer will then allocate any sponsorship which is for a specific charity and ensure that this is allocated in the final totals.

I would like to support this event and the chosen charities but am unable to run, can I make a donation?
 
We would be delighted to accept your support! We will be holding a collection at the finish line on the Bath Grounds on the day but if you would like to donate in advance then we can accept donations to our Paypal account. Please click the Donate button below which will take you through to Paypal and enable you to donate. All payments made to this account are specifically for the Santa Fun Run & Walk and so will go directly to the stated charities.
